This is a guide that we (lonavalamari & Bluetuft2007) compiled from our personal experiences and the experiences of others. It is not meant as the be-all and end-all to camping trip planning. Everyone is different and may have a different way of approaching camping trip planning.

Hosting a camping trip
takes a lot of effort and work, but the reward is worth it. Whetheryou're running a camping trip to bring players together, roleplay, meetpeople, or see new places, planning a camping tripwill allow you to organize effectively and will help youin getting the turnout you want and most importantly, enjoythe camping trip.

  • Learn about camping to get an idea of what it is.
  • Structurestraders can craft camps using a Generic Crafting Tool (except for theLuxury Camp, which requires a Structure and Furniture Crafting Tool). Read the complete guide to chapter 5 camps. to learn about the crafting process and camps. The basecamp accepts a number of optional modules to add a wide variety offeatures to the camp. Camping modules:
  • Scout an area on a planet for a good location. Some ideas to look for:
  • Create a theme.
    • Summer camping trip theme
    • Holiday camping trip theme
    • Planet specific theme. i.e. Endor Trip
  • Create an interesting name for the event, which you can use to name the fishing poles or gifts. i.e. Bloodfin Sights of the Galaxy Camping Tours
  • Camping equipment:
    • Camps. Seek out an architect (structure traders craft camp modules) to purchase quality, advanced, elite, or luxury camps.
      • Findout how long your camp will last by examining the camp and looking atthe "Lifespan duration." When a camp reaches zero (0) lifespan, thecamp will disappear. Camp batteries can increase the lifespan of the camp by up to 30 minutes per battery. Depending on resource quality & experimentation, camps last up to:
      • Complete Guide to Chapter 5 Camps shows resource requirements (modules).
    • Fishing poles and bait
  • Thinkof activities to include. Camping may be an event unto itself, but itcan done in conjunction with other activities, such as visiting POIs,swimming, and fishing.

  • Plan a week in advance. If you want live interactive support you will need to give the Events Manager 2 weeks notice in advance.
    • Camping trips will last about an hour to an hour and a half, or however long you want it to last.
  • The World Clock - Current local times around the world
  • Arizona (with the exception of the Navajo Nation) and Hawaii and the territories of Puerto Rico, Virgin Islands, Guam, and American Samoa are the only places in the U.S. that do not observe DST (Daylight Savings Time) but instead stay on standard time all year long.

  • Have traders on-hand to craft souvenirs, and miscellaneous items.
    • Name your gifts with the name of the event so players can have something to remember the event by.
  • Delegate tasks to guild members, friends or community members to take pictures or record attendance.
  • You can also contact an event helper for help with your event.

  • Prepare to bring several camps in the event that one expires.
  • To request Event Support (Pex), follow this Step-by-step guide. **Live Interactive was cut in May 2008 (Time to say farewell)**
    • If you plan to request an NPC played by Pex, do researchon the character. Pex will need to follow certain character guildlines.i.e. Jabba the Hutt isn't going to go on a camping trip, unless he hasshady business to conduct. A helpful resource is Wookieepedia.
    • If you plan to request an NPC played by Pex, look at the character list. You can also request non-canon characters.

Star Wars characters can be played by Events Manager, Pex.

  • Publicize the event as much as possible. Read the the guide to promoting your event.
  • Post an event announcement on your Galaxy forum "Upcoming Player Events" post. This will be posted on the Current Player Events.
  • Advertise your event in fan sites or Roleplaying Server Communities.
  • Create visual ads and post them in the events forum, and your server's forum.
  • Advertisethe rules in advance (weapons, armor allowed?). This will help toeliminate any misunderstandings or false-expectations.
  • Advertise in-game. Ask another event host to sponsor your event. Spreadthe word. Send Emails (Guild Mail, Event Mailing lists, City Mails)

  • Remember to delegate tasks.
    • Assign someone to record names of attendees.
    • Assign someone to take pictures.
    • Assign someone to record chat logs (/log). This is entirely optionalbut we find it really helpful to read after an event. It gives us achance to see tells that we've missed, or have documentation to settleany disputes that might arise later.

  • Send a thank you letter to all of those who attended the event.
  • Write an event report and post in the galaxy forum, events, fan sites or roleplaying server communities.
  • Tell people how the event went. Post images of screenshots, and give them the URL.
  • Contact people who run fan sites and pod cast to feature your post event news. You can find these people in the community news forum.
  • Ask for suggestions, feedback, and comments.
